Booking terms & cancellation policy
Last updated: 14 October 2026. These terms apply to tours, hotel bookings and car rentals arranged by Sikkim Tour & Travel. Your written quote states the price, inclusions and deposit for your booking.
1. Booking and confirmation
Your contract is with Sikkim Tour & Travel. A booking is confirmed when we have accepted your booking request and received the deposit stated in your quote. Please send all booking correspondence to sikkimtourandtravel975@gmail.com or WhatsApp +91 81720 55888.
2. Payment
- Payment can be made by bank transfer, in cash at our Siliguri office, or by demand draft / cheque.
- Payments must be made free of any withholding tax or deduction. Bank charges for remittance (by the remitting or any intermediary bank) are paid by the payer.
3. Cancellation, no-show and early departure
Cancellations must be made in writing. Charges apply from the date we receive your written cancellation:
| When you cancel | Cancellation charge |
|---|---|
| 30 days or more before arrival | 10% of the tour/service cost |
| 16 to 29 days before arrival | 50% of the tour/service cost |
| 15 days or less before arrival, or no-show | No refund |
Whatever the cancellation date, a minimum service charge of 10% applies to any booking that is cancelled. If you cancel after the trip has started, any refund is limited to the amount we can recover from hotels and suppliers; we cannot refund unused accommodation, transport or missed meals.
4. Refunds
Refunds for cancelled, pre-paid services are calculated using the cancellation policy above and paid to the person who made the payment. Refunds can take 2–4 weeks because of banking procedures, and any bank charges are deducted from the refund amount.
5. Prices and changes
Published package prices are per person and depend on the minimum group size shown. Rates are based on prevailing hotel and transport rates and are confirmed in your quote. If government taxes, entry fees, permit fees, fuel costs or guide charges increase after your price is confirmed, the difference will be charged. Hotels and airlines may change their rates without notice.
6. Itinerary changes
All itineraries are a guide to the likely trip schedule. Weather, landslides, road conditions, permit decisions and the physical ability of travellers may require changes before or during the tour. Once a tour starts it follows the finalised itinerary, but we reserve the right to change all or part of it for the safety and well-being of our guests.
7. Our liability
We act as an agent for the hotels, transporters, airlines, railways and other suppliers who provide services, subject to their own terms and conditions. We are not responsible for delays, changes or extra expenses caused by natural hazards, landslides, weather, flight cancellations, accidents, vehicle breakdown, sickness, strikes, political closures or other events beyond our control, nor for loss, injury or damage arising from them. Baggage and personal property are at the traveller's own risk.
8. Insurance and health
We do not hold insurance covering travellers' accidents, illness, theft or other losses. We strongly recommend personal travel insurance, including cover for high-altitude travel. Some destinations are above 3,500 m – please consult a doctor before booking if you have a medical condition. Travellers with a contagious illness should not travel.
9. Permits and documents
Travellers must provide valid ID documents and photographs required for permits in good time. Final permit decisions rest with government authorities. For Bhutan, Indian nationals need an original valid passport or voter ID (birth certificate or passport for children under 18) and 2 passport photos.
